Managing roles and permissions in Sanka is essential to ensure your team has appropriate access to features and data while protecting sensitive information.

This guide explains the different roles available in Sanka, how to assign roles, and how to customize permissions for users in your workspace.

About Roles

Sanka simplifies user management with two primary roles:

1. Admin

  • Access: Full control over the workspace, including all modules, settings, and user management.
  • Responsibilities:
    • Manage staff roles and permissions.
    • Oversee the workspace's overall configuration and security.

2. Staff

  • Access: Restricted based on permissions assigned by the Admin.
  • Responsibilities:
    • Perform tasks as per assigned permissions.
    • Access only relevant data and features necessary for their role.

About Permission Settings

Permission settings allow Admins to grant or restrict access to features for each user. This ensures that users only interact with the tools and data relevant to their responsibilities.

  • Security: Protect sensitive data by limiting access.
  • Productivity: Simplify the interface for users by restricting unnecessary features.
  • Control: Define clear roles and responsibilities within the workspace.

Process to Manage Roles and Permissions

Access the User Management Screen

1: Log in to Sanka.

2: Navigate to Workspace Management then select User Management to view the list of current users in your workspace.

Inviting Users and Assigning Staff Roles

3: Before setting roles and permission for other users, you need to invite them to the Workspace. Enter the email address of the user you want to invite. Learn the detail process of inviting users here!

4: By default, invited users are assigned the Staff role. If you want to edit their roles or permission, click on the View button next to their name to show the whole page of roles and permissions setting.

5: If you want to change the role of the user, click Convert to Admin button to give the full access of the Workspace.

Assigning and Customizing Permissions

6: In Sanka, we have 4 access rights.

  • (1) No Access: Restricts all access to the feature.
  • (2) View Only: Allows users to view information without editing capabilities.
  • (3) Edit Access: Grants complete access to view, edit, and manage the feature, but to archive or delete is restricted.
  • (4) Edit Access: Grants complete access to view, edit, manage, and archive or delete the feature.

You can adjust access rights for various features or modules.

Using Bulk Settings

7: If you need to apply the same permissions to multiple features:

  • Click the Access icon to bulk apply the permission.
  • Choose the desired access level (e.g., No Access, View Only).

8: Click Update to implement these settings across all selected features or users.

9: You can also remove the user from the selected workspace by clicking Remove User button.

10: Test the configuration by logging in as a Staff member or asking the user to confirm their access.

11: To update permissions later, repeat the steps above and modify settings as needed.
